Terms of Service

These terms govern use of CareOS, practice-management software for healthcare clinics. By creating a workspace or signing in, you agree to them on behalf of your practice.

The service

CareOS provides scheduling, charting, patient communication, billing tools, and optional third-party integrations (Zoom, Google Calendar, Stripe). Clinics connect integrations on their own accounts and may disconnect them at any time; the third-party service's own terms apply to the connected account.

Your responsibilities

• Provide accurate account information and keep credentials confidential.
• Use the service only for lawful clinical operations, with all consents and authorizations your practice is required to obtain from patients.
• Clinical judgment remains yours: CareOS is an administrative tool, not a medical device, and drafts or suggestions it produces must be reviewed by a licensed professional before acting on them.

Health information

Patient records belong to the clinic. Where CareOS processes protected health information for a covered entity, it does so as a business associate under a Business Associate Agreement. Our Privacy Policy describes processing in detail.

Model Arena verdicts

Model Arena lets clinicians compare AI model answers side-by-side and record a verdict (a winner selection, quality ratings, and an optional written reason). By submitting a verdict you agree that: (a) verdicts are recorded with your account and may steer which model powers AI features in your workspace; (b) de-identified verdicts and aggregate statistics — never patient information — may be published (for example, the public model leaderboard) and used to evaluate and improve AI models, including in de-identified evaluation datasets; (c) verdicts cast on the public arena page are anonymous and aggregated the same way. Patient chart content included in a comparison is processed only to produce that comparison and is never published or shared beyond the model calls you initiate.

Availability and changes

We aim for continuous availability but do not guarantee uninterrupted service. Integrations depend on third-party APIs and may degrade gracefully when those are unavailable. We may update features and these terms; material changes will be communicated to workspace owners.

Termination

Clinics may stop using the service and request export or deletion of their workspace at any time. We may suspend accounts that violate these terms or put patient data at risk.

Liability

To the maximum extent permitted by law, CareOS is provided "as is" and our aggregate liability is limited to the fees paid in the twelve months preceding a claim.
